CSM Capacity Calculator: Accounts per CSM and Team Size

Accounts per CSM = customer-facing hours per CSM per month ÷ hours each account needs per month. CSMs needed = total accounts ÷ accounts per CSM, rounded up. 160 working hours with 70% customer-facing time and 3 hours per account give 37 accounts per CSM, so 400 accounts need 11 CSMs.

CSMs needed

11

You are 2 CSMs short. Either hire, or move the smallest accounts to a lighter-touch model to cut hours per account.

Current team load

119%

Above 100%: the book needs more hours than your CSMs have, so some accounts get no proactive time.

Accounts per CSM = 160 h × 70% ÷ 3 h = 37.3
CSMs needed = 400 ÷ 37.3 = 11 (rounded up)

Frequently asked questions

How many accounts should a CSM manage?
It depends on how much time each account needs. High-touch enterprise CSMs often handle 10 to 30 accounts, mid-market CSMs 30 to 100, and scaled or tech-touch models several hundred. Work it out from hours per account rather than copying a ratio.
How do you calculate CSM capacity?
Take the hours a CSM works in a month, keep the share spent with customers (after internal meetings, admin and training), and divide by the average monthly hours each account needs, including prep and follow-up.
What is a good ARR per CSM?
Many SaaS companies plan somewhere between $1M and $3M of ARR per CSM, with enterprise books at the higher end. Use it as a budget check next to accounts per CSM, not as the only staffing rule.
