What we collect, why we collect it, and how you stay in control of your data.

Who we are
Clarivoxx (clarivoxx.com) publishes free tools, guides, newsletters and ebooks for customer support, customer success and customer experience teams. Clarivoxx is run by Abdessamad Ghanem, who is responsible for your data. For any privacy question, write to contact@clarivoxx.com.
What we collect and why
- Newsletter and welcome offer: your email address, the date you subscribed and the page you subscribed from, to send you the newsletter (monthly), new articles (weekly), reminders and your promo code. Legal basis: your consent, which you can withdraw at any time with the unsubscribe link in every email.
- Email opens and clicks: our emails contain a small image and tracked links so we know which emails are read and which links are useful, and to stop reminders for people who come back. Legal basis: legitimate interest in improving our emails.
- Book reviews: your rating, your review text and your email. The review is published anonymously; your email is never shown and is used only to prevent spam and duplicate reviews.
- Contact form: your name, email, company and message, to answer you.
- Free tools: calculator inputs stay in your browser. Downloaded PDF and Excel files are built in your browser. When you enter your email to get a template or the team performance report, we store your email (and add it to the newsletter). For the team performance report, the PDF itself, with the names and results you entered, is stored on our server under a private link so we can email it to you, and we log the team name, the number of people and your country.
- Visit statistics (no cookies): for every page view we count the page, the website you came from, your device type and your country. To know how many pages a visit includes, your browser tab keeps a random visit number for 30 minutes (in session storage, deleted when you close the tab). It is not linked to your name, email or IP address, and it is not used for advertising. The same counter notes when a calculator, template, sign-up form or ebook button is used (only which one, never what you typed). Cloudflare Web Analytics also counts visits without cookies.
- Analytics: only if you click "Accept" on the cookie banner, Google Analytics records pages visited, device type and approximate location (country or city), to see which pages help people. No advertising cookies are used.
- Free workspaces (Agent Performance Center, Workforce planner, Customer Success Health Center, SOP builder, KPI benchmarking, saved tools, Academy progress): what you enter is saved in your browser only. If you sign in and switch on workspace sync on your account page, a copy is stored in your account so you can use it on other devices; only you can read it, and you can delete it there at any time.
- Ask the coach: to start a conversation you give your first name, email and role. We keep them, with your first message and approximate country (from your connection), in our private follow-up sheet, and if you tick the newsletter box we add you to the newsletter. Your messages are sent to our AI provider (Groq, with Google Gemini as a backup) to write the answers; we do not keep the rest of the conversation. When the backup answers on Google's free tier, Google may use the text to improve its services, so do not include names of colleagues or customers, or anything confidential. Your browser remembers your details so you do not retype them.
- CX dashboard account: to open the dashboard you give your email (and, if you want, your first name). We email you a sign-in code. Your account keeps the dashboards you calculate (the tool, the numbers you entered and the main result) and the tools you build, so you can open them again. Only you can see them. We note new accounts in our private follow-up sheet, and if you tick the newsletter box we add you to the newsletter.
- Purchases: ebook payments are handled by Lemon Squeezy, which acts as the seller of record and processes your card and billing details. We never see or store your card number.
We check email addresses automatically to block fake, test and throwaway addresses.
Who processes the data for us
We use trusted service providers only to run the site: website hosting and database, email delivery, Google Analytics (with your consent), Google Sheets for our private internal dashboard, Groq and Google Gemini for the coach's answers, and the payment provider for purchases. They process data on our instructions. We do not sell or rent your data to anyone.
How long we keep it
- Newsletter data: until you unsubscribe, then only what is needed to respect your choice.
- Contact messages: up to 24 months.
- Coach details (name, email, role, first message, approximate country): up to 24 months.
- Synced workspace copies: until you delete them on your account page or delete your account.
- Dashboard account and saved dashboards: until you ask us to delete the account at contact@clarivoxx.com.
- Team performance reports: 30 days, then the file is deleted and the emailed link stops working.
- Reviews: as long as the review is published, or until you ask us to remove it.
- Analytics data: according to Google Analytics retention settings (14 months maximum).
- Purchase records: as long as tax and accounting rules require.
Your rights
You can ask to access, correct, export or delete your data, object to its use, or withdraw your consent at any time. Write to contact@clarivoxx.com and we will answer within 30 days. If you live in the European Union or the UK, you can also complain to your local data protection authority.
Cookies
The site stores a few small items in your browser to work properly, for example your cookie choice, an applied promo code, or the fact that you already subscribed (so the offer pop-up stops). Analytics cookies are used only after you accept them.
Children
Clarivoxx is made for professionals and is not intended for children under 16.
